How to use the Timesheet Calculator

  1. Select a 7-day or 14-day period.
  2. Add a start date when you want calendar dates in the summary.
  3. Enter regular, overtime and paid leave hours for each day.
  4. Use decimal hours such as 7.5 or hours and minutes such as 7:30.
  5. Add an hourly rate only when you want a pay estimate.
  6. Select Calculate timesheet to review totals and the daily breakdown.

What is a timesheet calculator?

A timesheet calculator totals hours that have already been recorded for each day. Unlike a clock calculator, it does not require clock-in and clock-out times. It is useful when a worker or supervisor already has daily hour totals.

Total paid hours = regular hours + overtime hours + paid leave hours

Decimal hours and hours:minutes

This calculator accepts either format. Decimal hours use fractions of an hour, while hours:minutes use clock-style minutes.

Weekly timesheet example

Monday to Thursday: 8 regular hours per day

Friday: 8 regular hours and 2 overtime hours

Result: 40 regular hours, 2 overtime hours and 42 total paid hours.

Paid leave example

Paid leave is included in total paid hours and, when an hourly rate is entered, is estimated at the base hourly rate. It is not included in worked hours.

Frequently asked questions

Can I enter 7:30 instead of 7.5?
Yes. Both formats represent 7 hours 30 minutes.
Can I calculate a two-week timesheet?
Yes. Select the 14-day period.
Does the calculator decide which hours are overtime?
No. Enter overtime hours based on the rules that apply. Use the Overtime Calculator for threshold-based calculations.
Is paid leave counted as worked time?
No. It is shown separately from worked hours but is included in total paid hours.
Can I enter sick leave or vacation time?
Enter paid sick leave, vacation or other paid absence in the Paid leave field. Leave unpaid absence blank.
Is the estimated pay a final payroll result?
No. It excludes taxes, deductions, bonuses, multiple pay rates and other payroll rules.
